Your studio: people, seats and billing

Who is in my studio, what does that cost, and what happens if I change my mind? A studio holds two kinds of people: those who work there as their home studio, who take a seat, and those who help on one job while keeping a studio of their own, who cost you nothing. This chapter covers seats, roles, invitations, prices, the free plan, and changing what you pay. All of it lives in the Admin Console, mainly on the Team and Billing tabs.

Two letters is enough, and it reads every chapter.

What is a seat, and what isn't one?

In the product's own words, on the Team tab:

"A seat is a place you buy, and you pay for the ones you have whether or not anybody is sitting in them. Somebody who works here as their home studio takes one. Clients and reviewers arrive on a link and never need one. An outside helper comes in on a plan of their own, on their one free two weeks, or on a seat you hand them."

So a seat is a place, not a person: five seats with three people in them is still five seats. Every studio, even one that never paid, has exactly one seat, the founder's.

The Team tab has two lists:

  • Internal, Paid: people who work in your studio, one row per seat. Each takes a seat.
  • External: "Outside your seats, which costs you nothing." Freelancers who help on one of your projects and keep their own studio, and people whose seat was taken back but who are still on a project of yours.

An external person sees only the projects they were added to. On the other side of their bill: a freelancer who pays for a seat anywhere can help any studio, with no clock. Someone on a free account gets a one-time, fourteen-day trial of working outside their own studio; after that they need a plan of their own or a seat you give them. They see this on their own screen when your invitation arrives, so it is worth mentioning before you send it.

Roles

In the studio: owner and member. The founder is the owner; everyone invited after is a member. A member can do most of the day-to-day work. What differs per person is a set of permission switches (such as giving somebody a seat or making somebody a lead), which an admin turns on or off per colleague under Permissions → Users. One thing always stays with the owner: buying or changing seats and the plan, and cancelling.

In a project: lead and crew. A lead runs a job and can assign work directly; the rest of the crew offer work and wait for a yes (see Tasks). Who may make somebody a lead is itself a studio permission. Leading is per project: a member can lead several projects, or none.

How do I invite somebody?

To work in your studio, on a seat: in Internal, Paid, find the row that reads Empty seat, type their email address and press Invite. The invitation is mailed, and the link also shows on screen, in case the mail lands in spam.

To help on one project, without a seat: press + Add beside External (or add them from the project's own settings), and pick the project they are joining. Accepting puts your project on their own studio's list; it never brings them inside yours.

No empty seat? The owner of a paying studio presses Add seats ("Charged as one invoice, whatever the count."). A studio that has never paid is pointed to the Billing tab to start a subscription. Anyone else sees "Only whoever started this studio can add a seat."

A seat invitation can only give a home to somebody who does not have one yet. Kadrenta does not check up front whether the address already has a studio, because that would let anybody find out whether a stranger uses Kadrenta. If they do, they simply cannot take the seat, and they see that on their side.

What does a seat cost?

Prices are excl. VAT (Dutch VAT, 21%, is added on top). Seats follow a graduated ladder: the first five always cost the top price, the next five the middle price, and every seat beyond ten the lowest. Crossing a step never re-prices the seats below it, so hiring one more person never costs more than staying under the line.

Pro is its own plan, with the same ladder shape. Moving between Studio and Pro is a price swap on your existing subscription, never a cancellation and a fresh start.

Beta price: while the public beta runs, a seat costs a flat €19 a month (Pro: €34). Once your studio makes its first payment, that price holds for two years from that date. When the two years are up, nothing changes on its own: you hear from us first.

Paying yearly charges ten months instead of twelve. The saving is shown as its own line, so the amount you see is the amount that leaves your account. A discount code shows the same way, on its own line with the date it runs until.

Storage: every paid seat brings 250 GiB (500 GiB on Pro), pooled across the studio. More room comes in three sizes, on either plan, as a line on the same subscription: 250 GiB for €15, 500 GiB for €27 (10% off) or 1 TB (1000 GiB) for €48 (20% off) a month, excl. VAT. Yearly billing pays ten months for twelve, as with seats. Storage you bought per block before these sizes keeps its price until you change it.

What does the free plan include?

Most of Kadrenta works on the free plan, and nothing you made is taken away later. What it limits:

  • One seat, the founder's.
  • Three active projects, three canvases and three running reviews. Archiving a project or finishing a review gives the slot back. A free studio gets one extra active project when somebody joins Kadrenta through its invitation, and one when its founder joined through somebody else's.
  • 150 light files and 20 heavy files, counted rather than measured in bytes (see Files).
  • No transfers to clients, and no writing through an AI assistant.

Pro only, also for paying Studio plans: the studio's shared folders and project files on the Files page.

When a limit is full, pressing to add one more opens a popup saying so ("Your projects are all busy"), with See the paid plans (Free, Studio and Pro side by side). Someone who is not the owner is told to ask the studio owner.

A link a client already has keeps working whatever your counts say. Clients, reviewers and external freelancers never count against anything, on any plan. Watching a review together has a room size on every plan: 8 people on free, 30 on Studio, 50 on Pro.

How do I start paying?

On the Billing tab, answer four questions; the figures update as you go: Which plan, How many seats, Where the studio is based (for the VAT), and How often you would like to pay. Then choose how to pay: Pay by direct debit, Pay by card or Pay with iDEAL. You finish on Stripe's secure payment page, so your card or bank details never pass through Kadrenta.

Once you pay, the Billing tab shows an overview (for example 3 seats · Studio), and Open billing settings takes you to Stripe for invoices and payment details. Seats themselves are changed on the Team tab.

Changing what you pay

Every change shows the exact invoice before you press anything, straight from Stripe.

Going up happens now and is charged now: adding seats, moving to Pro (Move to Pro), switching to yearly billing, or buying storage. You see what is charged today for the rest of this period, and what the regular invoice becomes. If the payment fails, nothing changes. If your bank asks you to confirm, the change waits with Confirm with your bank, and lapses if you do not.

Going down waits for your renewal date and pays nothing back: Cancel seat on a seat row ("Cancel this seat?", with Keep it to change your mind), moving back to Studio, switching to monthly, or choosing a smaller storage size. Until then you keep everything you paid for. Cancelling an occupied seat takes it back on the renewal date. Cancelling your only paid seat ends the subscription, and the popup says so.

Waiting changes are listed on the Team and Billing tabs with their date. Several add up, and Call this off (or Call all of these off) undoes them before they land.

Extra storage is set by the owner on the Storage tab: Add extra storage (or Change extra storage), pick a size, and the cost appears before you press Add. A smaller size, or None, takes effect at your renewal.

Taking a seat back from someone

Take the seat back on a person's row frees their place at once, ready for someone else. What happens to them:

  • if they are still on one of your projects, they stay on it as an outside helper, and their fourteen-day trial starts;
  • if not, they leave the studio;
  • either way, they get a free studio of their own if they have none, and their unfinished tasks go back to whoever runs each job.

Freeing a seat does not lower your bill by itself; to pay for fewer seats, cancel a seat as above.

Closing a studio

The owner can press Close this studio on the Billing tab. One question, What happens to your studio:

  • Stop and keep everything: the studio stays, frozen on the free plan with every project and file in it. Client links pause while it is closed.
  • Stop and delete everything: the studio closes today and everything in it is deleted after thirty days. Until then, one button undoes it.

Then, under When billing stops, pick On my renewal date (you keep everything until then) or Stop now. Nothing is paid back either way. Afterwards the owner can Reopen this studio, Download everything, or press Keep my studio, undo the deletion within the thirty days.

You cannot delete your own account while a studio you own is still being charged; the Delete your account button names that studio and takes you to its billing first.
